Rental Services Coordinator

Dept/Div: Parks & Recreation                                                                                             FLSA Status: Non-Exempt

 

General Definition of Work

Markets, coordinates and schedules all facility, park, pool, lock-in, pavilion and field rentals and reservations.  Works closely with both internal and external clients and customers to offer excellent rental services and detailed information in providing a high quality product.  Work is performed under the direct supervision of the Recreation Manager and/or Superintendent.

Essential Functions

Coordinates all facility room rentals, pool rentals, and lock-ins, park, pavilion and field reservations.

Coordinates all requirements and needs with rental customer, and communicates with custodial, maintenance, parks and recreation staff. This includes room set-ups and diagrams, equipment and facility malfunctions and repair needs, AV coordination and other equipment and supply needs.

Manages rental budget, including maintaining a detailed accounting of revenue and expenses affiliated with services. 

Provides equipment and supply needs for budgeting purposes and oversees expenditures. Monitors ongoing replacement needs.

Coordinates marketing and social media needs for rental services.  Recommends advertising opportunities to enhance rental services.

Provides excellent personal and virtual tours of community center, parks and outdoor facilities, with ability to thoroughly market and describe all facets of the operations.

Works with caterers and event services in coordinating events.

Positively and effectively promotes all facilities and amenities.

Exemplary communication skills. Displays an extraordinary professional demeanor in handling all aspects of responsibilities.

Communicates effectively and thoroughly with department staff for after-hours staffing requirements.

Manages RecTrac facility reservation software.  Coordinates all rental and program reservation time blocks.

Works closely with guest services in coordination of rentals and events.

Provides excellent customer service to all internal and external customers.  Includes professional, timely and thorough responses in writing, in person and through phone contact.

Manages all rental agreements in an organized and effective manner. Excellent follow-through communication skills.

Understands and enforces all rules and regulations, as well as emergency procedures for facility and park services.

Strong attention to detail and accuracy.

Knowledge, Skills and Abilities

Ability to multi-task and highly organized while working under constant interruptions, while maintaining focus. Ability to provide excellent customer service, maintain composure and make the customer feel important; ability to deal tactfully and effectively. Must be detail oriented, with excellent time management skills.  Maintain composure under pressure. Excellent computer skills with the ability to be a quick learner a must.  Excellent communication skills in both oral and written formats. Ability to offer effective solutions to the customer, both internal and external.  Ability to establish and maintain effective working relationships with associates; strong skills in coordinating events, including supply and equipment needs and custodial set-up requirements. General knowledge of accounting and budgeting practices; ability to plan, maintain, and operate from a budget.  Effective and efficient skill in obtaining payments and necessary paperwork.  Thorough knowledge of event planning, with ability to provide effective recommendations and solutions.  Strong organizational skills.

 

Education and Experience

High school diploma or GED with minimum one year experience in sales, customer service, marketing or related field.  Associates degree or higher preferred.

Physical Requirements

This work requires the regular exertion of up to 10 pounds of force, and occasional exertion of up to 25 pounds of force; work regularly requires standing, walking and using hands to finger, handle or feel, frequently requires sitting, speaking or hearing, reaching with hands and arms and repetitive motions and occasionally requires climbing or balancing, stooping, kneeling, crouching or crawling, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly; hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound; work requires preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, operating machines, operating motor vehicles or equipment and observing general surroundings and activities; work is generally in a moderately noisy location (e.g. business office, light traffic).

Special Requirements

CPR/First Aid/AED certification within 6 months of hire.

Valid driver's license.
